INTRODUCTION

  • Formal communication is an exchange of official information between people within the same organization
  • We make formal conversation when speaking to our teacher or some officials.
  • In this chapter, we will understand formal conversations and distinguish the formal use of language from its informal use.


FORMALITY

  • Formality also means to align with customs or etiquette.
  • In this way, a formality is often something that's more symbolic than necessary.
  • For example, when a big group sits down to eat dinner together, no one starts eating until everyone is served.

INTRICACIES OF SPEAKING WITH REFERENCE TO A FORMAL CONVERSATION

The following points should be considered in a formal conversation

(i) Content

  • Speakers should ensure that all the ideas and personal opinions expressed are relevant and satisfy the requirements of the conversation.
  • The conversation happens in clear, distinct parts that highlight a structured pattern of expression of ideas (solution- oriented, analytic and ordered), with smooth and effective transitions.

(ii) Language

  • Speakers should have an impactful command over the language and be confident in using it.
  • Ideas expressed should have clarity and power.
  • The meaning of the message and the flow of thoughts should be easily followed by the listener.

(iii) Engaging the listener

  • Speakers should use innovative ways to involve the listener and successfully keep them engaged without losing their attention through the clever manipulation of rhetoric. 
  • The conversation should be authentic, witty and unique.


EXAMPLES OF FORMAL CONVERSATION

examples of formal conversations- at a job interview A reputed software manufacturing firm has a job opening in the Software Evaluation department. Ashok is the first applicant to be interviewed by chief manager Sameer Sahu.

( Sameer ) Good Morning Ashok. I am Sameer Sahu

( Ashok ) Good morning Sir

( Sameer ) How are you doing?

( Ashok ) I am doing fine sir. Thank you.

( Sameer ) How was the traffic coming over here?

( Ashok ) It is a relief that the traffic was light this morning. 

Thankfully there were no traffic jams.

( Sameer ) That is good to know. Ashok, let's start the interview. Are you ready ?

( Ashok ) Yes, sir. I am.

( Sameer ) First of all, let me properly introduce myself.

I am the Chief Manager.

As you know there is an open position in the Software Evaluation department, and I need to fill this position as soon as possible.
